Assist the division on all aspects of work performed by the department; responsible for managing work flow, schedules and information. Prepares and manages correspondence and reports, assists on special projects of the department and provides staff assistance for a variety of administrative and organizational functions.
Duties
Coordinate the daily schedule and appointments as requested.
Initiate department correspondence and prepare memorandums, reports and other documents as assigned (includes writing assignments).
Organize and schedule meetings of varied groups within the system relevant to particular initiatives of the department.
Develop and maintain file system including hard-copy and electronic for the department.
Maintain and update databases.
Serve as administrative liaison between Advancement and Strategic Communications and other departments in the President's Office, the five campuses and with external organizations.
Work with the department's leadership team and other staff members in determining requirements for outreach efforts and insure they are completed in a timely manner.
Assist in the administrative planning, coordination and implementation of events managed by the department.
Prepare spreadsheets and maintain databases using software determined by the organization.
Search websites for information and compile information for current /future projects.
Schedule conferences, including registration. Responsible for preparing department expense reports for signature and arranging travel, local or out of state.
Perform other duties as assigned.

Qualifications
One to three years experience in a University, agency, or private sector setting with responsibilities in communications or related area.
BA or equivalent combination of education and experience
Ability to exercise judgment and maintain relationships with a wide variety of constituents.
Excellent computer skills; Word, Excel, PowerPoint and Access required.
Experience providing support within a team environment
Works under the supervision of the Associate VP for Advancement & Marketing Communications
Salary Range
Salary commensurate with experience.
